Who we are

Mystic Academy is an IT training institute based in Kathmandu, Nepal. This policy covers this website and the enrolment, teaching and billing records we keep about the people who study with us.

What we collect

When you send a course enquiry or use our contact form: your name, email address, phone or WhatsApp number, the course you asked about, and anything you type into the message box.

When you submit an admission application, we also ask for your date of birth, gender, address, your guardian's name, phone number and relationship to you, your academic background, and any prior experience you choose to describe.

When you enrol, we keep a student record: a student ID, an emergency contact, your attendance, your assessment results, your fee payments and receipts, and any certificate we issue you.

When you subscribe to our newsletter, we keep your email address and name. When you comment on a blog post, we keep the name, email address, rating and comment you submitted.

Automatically, on every visit: your IP address, your browser's user-agent string, the page you landed on, the site that referred you, and the advertising click identifier if you arrived from an advert (Google's gclid or Meta's fbclid). We join these to your enquiry so we can tell which adverts actually bring people to us.

If we email you, we record whether the message was opened and which links in it you clicked.

How we use it

To answer your enquiry, process your admission, teach you, take your fees, issue your receipts and verify your certificate.

To send you course news and offers — but only if you ticked the consent box when you contacted us. Every marketing email we send carries a one-click unsubscribe link, and unsubscribing takes effect immediately.

To measure which marketing channels and adverts produce enquiries, so we spend our advertising budget on the ones that work.

To meet our accounting, tax and record-keeping obligations under Nepali law.

We do not sell your personal data, and we do not make automated decisions about you.

Cookies and third-party measurement

This site sets a first-party visitor identifier so that an enquiry you send today can be joined to the advert or search that first brought you here. It carries no name and no contact details.

Where they are configured, we load Google Analytics 4 and Google Tag Manager. Google Tag Manager can load further measurement tags, which may include advertising pixels operated by Google and Meta. Those services set their own cookies and receive your IP address under their own privacy policies.

You can block or clear cookies in your browser. Doing so does not affect your enquiry, your enrolment or your access to any course.

Who we share it with

Our own staff and instructors, limited to the branch and the records they need to do their job.

The service providers who run this system on our behalf: our website host, our email delivery provider, and the analytics services named above.

Government bodies and regulators, where the law requires it.

Nobody else. We do not share your details with other institutes, agents or advertisers for their own marketing.

How long we keep it

Enquiries, contact messages, admission applications, newsletter subscriptions and blog comments: for as long as they are useful to us, and no longer than you want us to. Ask us to delete them and we will.

Student, enrolment, payment and certificate records: for as long as Nepali accounting and tax law requires us to keep them, and so that certificates we have issued remain verifiable by the employers who check them. This is the one category we cannot simply erase on request — see the next section.

Marketing measurement data is kept in an aggregated form after the underlying enquiry is deleted, so that historic advertising figures do not change retrospectively. It carries no name, email address or phone number.

Deleting your data

You can ask us to delete the personal data we hold about you at https://www.mysticacademy.com.np/data-deletion, or by emailing info@mysticacademy.com.np with the phone number or email address you used when you contacted us.

If you never enrolled, we erase everything: your enquiries and the notes on them, your contact messages, your admission application, your newsletter subscription, your blog comments, and the visit records tied to them. Nothing recoverable is left behind.

If you did enrol, we cannot erase your student, payment and certificate records for the reason given above, and we will tell you so plainly rather than quietly doing half the job. We will still stop all marketing to you, and we will delete anything outside that retained core.

We aim to acknowledge a request within 7 days and to complete it within 30. There is no charge.

Your choices

You can ask us what we hold about you, ask us to correct it, ask us to delete it, or withdraw your consent to marketing at any time — by email, at our front desk, or through the unsubscribe link in any email we send you.

Withdrawing marketing consent does not cancel your enrolment, and asking for deletion does not affect a course you have already paid for.

Changes to this policy

If we change how we handle your data we will update this page and change the date at the top. We will not apply a materially different use to data we already hold without asking you first.
